Due to the nature of wholesale trade, returns are limited and handled on a case-by-case basis.
Damaged or Incorrect Goods
If you receive damaged, defective, or incorrect items, please notify us in writing within 48 hours of delivery.
Claims must include:
Order number
Description of the issue
Clear photographs of the goods and packaging
Approved claims may be eligible for:
Replacement of goods, or Credit note (at our discretion)
Non-Returnable Items
We do not accept returns for:
Buyer’s remorse
Overstocked items
Incorrect orders placed by the customer
Items that have been opened, used, or resold
Return Approval
No returns will be accepted without prior written approval. Approved returns must be sent back in original packaging and in resaleable condition.
Shipping Costs on Returns
If the return is due to our error, we will cover the return shipping costs. If a return is approved for any other reason, return shipping costs are the responsibility of the customer.

Shipping Area
We currently ship and service distributors within South Africa only. We do not offer international shipping at this stage.
Shipping Fees
Free shipping on all orders over R2,000 .
Orders below R2,000 will incur a flat courier fee of R120.
Order Processing Time
Orders are typically processed within 1–3 business days after payment confirmation. Orders placed on weekends or public holidays will be processed the next business day.
Delivery Timeframes
Delivery usually takes 3–5 business days, depending on your location. Remote or outlying areas may experience longer delivery times.
Delivery Method
Orders are shipped via The Courier Guy or RAM Couriers, depending on your location and availability. A delivery address within South Africa is required. We do not deliver to P.O. Boxes.
Risk & Ownership
Risk of loss or damage passes to the customer once the order has been dispatched from our premises.

This Privacy Policy describes how Wilde Colours (PTY)Ltd (“we”, “us”, or “our”) collects, uses, stores, and protects personal information in accordance with the Protection of Personal Information Act 4 of 2013 (POPIA) of South Africa.
This website currently serves wholesale customers and distributors. This policy will be updated as our services expand.

Personal Information We Collect
We collect only the information necessary to conduct wholesale trade,fulfil contractual obligations, and identify suitable wholesale partners.
We may also collect contact details of representatives from conservation or community organisations where we are pursuing a formal partnership or collaboration.
Prospective Wholesale Partners
To identify businesses that may be a good fit for our wholesale programme, we research publicly available information using Google Maps and company websites. From these sources, we collect:
Business name
Owner or manager name
Email address
Contact telephone number
Town or suburb
This information is stored in our CRM system (Odoo) and used solely to make initial contact. All prospecting emails include an option to opt out of further communication.
If no response is received within 7 days of first contact, the record is retained for 12 months and then deleted.
If a prospect actively opts out, we retain only their name, email address, and opt-out date for a period of 5 years to ensure they are not contacted again in future.
Existing wholesale customers
Once a wholesale relationship is established, we collect and retain:
Business name and registration details
Contact person's name and surname
Email address
Contact telephone number
Physical delivery address
Billing information (excluding full payment card details)
Order and transaction history
Customer records are managed across Odoo CRM and Zoho (invoicing and orders).
Suppliers and Vendors
We retain basic contact information for suppliers and vendors, including business name and, where applicable, a contact person's name, email address, and telephone number. This is held in Zoho Suite and used solely for procurement and operational purposes.
Purpose of Processing
Personal information is processed for the following purposes:
Registering and managing wholesale customer accounts
Processing orders and payments
Arranging shipping, delivery, and returns
Communicating order-related information
Maintaining accounting and legal records
Complying with applicable laws and regulations
Sending marketing newsletters to opted-in wholesale partners
Personal information will not be processed for purposes incompatible with those listed above.
Lawful Basis for Processing
We process personal information based on:
Contractual necessity (to fulfil wholesale orders)
Legal obligations (tax, accounting, and record-keeping requirements)
Legitimate business interests, where such processing does not override data subject rights
Consent (for direct marketing and newsletter communications)
Direct Marketing and Communications
We send a monthly newsletter to wholesale partners who have opted in to receive marketing communications at the point of joining our wholesale programme. Newsletters are distributed via Mailchimp and may include product updates, new kit launches, conservation news, and seasonal promotions.
Partners can unsubscribe from newsletter communications at any time using the unsubscribe link included in every email. Opting out of marketing communications does not affect order-related or contractual communications.
We use Zoho email for direct operational communication with existing wholesale partners, including order confirmations, shipping updates, and account-related correspondence.
Our sales representatives may contact partners via WhatsApp for order-related updates and operational queries only. WhatsApp is not used for marketing purposes. We do not send unsolicited marketing emails to the general public.
Data Processors
During our operations, we use third-party platforms and service providers that process personal information on our behalf. All third-party processors are required to handle personal information securely, lawfully, and only for the intended purpose.
Our current data processors include:
Odoo CRM: Used for prospecting, sales pipeline management, and wholesale customer relationship data.
Zoho Mail: Used for operational email communication with wholesale partners and suppliers.
Zoho Inventory and Books: Used for inventory management, invoicing, and financial record-keeping.
Zoho Commerce: Used for processing online wholesale orders.
Zoho WorkDrive: Used for storing bookkeeping and financial records.
JotForm: Used for wholesale partner onboarding, collecting formal invoicing and account details.
Wix: Used to host our websites and manage contact form submissions.
Mailchimp: Used to distribute our monthly Wilde Watercolour newsletter to opted-in wholesale partners.
The Courier Guy: Used for order delivery and logistics. Recipient name and delivery address are shared solely for fulfilment purposes.
Paystack: Used for secure payment processing. Full payment card details are not stored by Wilde Colours (Pty) Ltd.
RAM Couriers: Used for order delivery and logistics. Recipient name and delivery address are shared solely for fulfilment purposes.
We do not sell, rent, or trade personal information to any third party.
Cross-Border Data Transfers
Some of the third-party platforms we use to operate our business are based outside of South Africa and may process or store personal information on servers located in other countries.
This includes Mailchimp, JotForm, and Odoo.
Where personal information is transferred outside South Africa, we ensure this is done in accordance with Section 72 of POPIA. We rely on the data protection commitments and compliance frameworks maintained by these platforms under their standard terms of service.
Platforms we use that operate internationally maintain compliance with recognised data protection standards, including the General Data Protection Regulation (GDPR), which meets the equivalent standard required under POPIA.
We do not transfer personal information internationally beyond what is necessary to operate these platforms.

We implement reasonable technical and organisational safeguards to protect personal information against:
